Information we use
When you contact us, we use the details you provide to answer your enquiry. The quote form requires your name, email address, collection postcode and a description of what needs collecting. A phone number, quantities, access details and a preferred collection date are optional. We prefer clear photographs of all the waste so we can quote accurately and give our driver a record of the agreed items. You can send an initial enquiry without photos; if you cannot provide them, our team will agree a clear item list with you before confirming a quote.
If you book a collection, we also need the collection address, agreed service details and information needed to arrange access and contact you. Please avoid including unrelated personal information, identifiable people, personal paperwork or unnecessary address details in quote photographs. If you do not provide the details needed to quote for, arrange or carry out a collection, we may be unable to provide that quote or service.
Enquiries are sent by email. Our website also has a separate enquiry-recording function that keeps contact details, a short message summary, enquiry time and source information. Website and email services can keep delivery, access and security logs, including technical information such as IP addresses. Where you allow website measurement, information about visits and relevant contact actions is used to understand how the website performs.
Why we use your information
We use enquiry details to discuss the items and access arrangements, prepare a free quote, and arrange and carry out an agreed paid collection. We use quote photos to assess the waste and help our driver identify the agreed items on site. Sending an enquiry does not book a collection or confirm its price or date. Quote requests are reviewed by our team; this form does not make an automated booking or pricing decision.
When you ask about a collection for yourself, we use the information needed to take steps at your request before entering a contract, and to perform that contract if you proceed. When you enquire as a contact for a company or another organisation, we rely on our legitimate interests in responding to business enquiries and organising the service. We also rely on legitimate interests to maintain necessary enquiry records, handle complaints, and protect the website and email services against misuse. We limit that use to what is needed and take your rights and reasonable expectations into account.
Where the law requires collection, accounting or other records, we keep the necessary information to meet that legal obligation. Optional website measurement depends on your cookie choices. If we ask permission to publish an identifiable photograph, that separate use depends on your consent.
Who can receive it
Our office staff and collection team use the information they need to respond to your enquiry and arrange or carry out the collection. Our website-hosting and email-service providers receive and process information to operate the website, deliver and store messages, maintain backups, and provide security and support. Website-measurement providers process visit and event information where your cookie choices allow this.
If disclosure is required by law, relevant information may be provided to the appropriate authority. You can contact our office for more information about the providers involved in your request.
Where information is processed
Our website’s origin hosting is in the United Kingdom. Our hosting, email and website-measurement providers operate internationally, so information may also be processed outside the UK, including in the European Economic Area and the United States. The provider we use to receive forwarded email and for optional website measurement publishes transfer arrangements including the UK Extension to the EU–US Data Privacy Framework for certified recipients and standard contractual clauses where required. Contact our office for details of the arrangements relevant to your information and how to obtain a copy of applicable safeguards.
How long we keep it
We review enquiry and photograph records at least annually. We keep personal information while needed to deal with an enquiry, arrange or carry out a collection, handle a complaint or dispute, or meet applicable recordkeeping duties. The decision takes account of whether the enquiry is still active, whether a collection took place, any unresolved issue and any relevant legal requirement. We delete or anonymise information when there is no continuing reason to retain it.
Photo uploads pass through temporary website storage so they can be attached to your enquiry email. The normal form process removes those temporary uploads after handling the email; copies received by email follow our enquiry-record review process.
Website databases, mailboxes, logs and backups are additional places where information can exist. Deleting a working record does not necessarily remove a backup copy immediately. Our review and any deletion request must take those copies into account, including the need for security, recovery, complaints or required records. We do not promise that every technical copy disappears as soon as an email is deleted.
Collection photographs on our website
Sending a photograph for a quote does not give us permission to publish it. For website collection examples, we intend to use images without identifiable people, addresses, number plates or personal paperwork. Before publishing an image that identifies a customer or another person, we will seek separate permission for that use. You can withdraw consent for future use by contacting our office; withdrawal does not affect the lawfulness of use before it was withdrawn.
Your right to object
You can object to use of your personal information based on our legitimate interests. Contact our office and explain your circumstances. We will consider the request and stop that use unless an applicable legal ground allows us to continue.
Your other rights
You can ask to access your personal information, correct inaccurate information, or request deletion or restriction of its use. You may also have a right to receive certain information in a portable form. The rights that apply depend on the information and why we use it; they are not all unconditional. Where a use relies on consent, you can withdraw that consent.
We may need enough information to confirm your identity and locate the relevant records. You can also complain to the Information Commissioner’s Office. You are welcome to contact our office first so we can try to resolve your concern.
Cookies and website measurement
Your cookie choices are separate from your quote request. You do not need to agree to optional website measurement to ask for a quote. For information about cookies and how to change your choices, see our Cookie Policy.
